Admission Requirements and Administrative Procedures for Field Research Courses

Admission Requirements

To be eligible for these courses, you must meet certain requirements:

Undergraduate level:

When applying and during the semester preceding the Field Research Course:

  • Must be in good academic standing
  • Must be registered full time (Winter 2022), in an Honours Bachelor offered by the Faculty of Social Sciences and have the Faculty of Social Sciences as your home faculty.
  • Must have completed 54 university credits in their programof study (by May - preceding the date of departure).
  • You must submit your application to the courses by completing the online form by the prescribed date.
  • Sign the Code of Conduct and commit to attending the pre-departure trainings
  • Commit to purchase the airline ticket and travel insurance according to the Faculty of Social Sciences criteria
  • Commit to leave with the other participants on the same flight (students must travel together, no exception)
  • Be legally able to travel to the Field Research Country
  • It is mandatory that participating students certify their vaccination status using the uOttawa COVID-19 Vaccination Declaration online tool
  • Conform to the host country's sanitary measures and the travel advice and advisories from the Canadian government
  • You must meet the specific language requirements for the course (written and oral ability in French or English depending on the language of the course).
  • If you are registered in the coop program, you must advise them of your interest of participating in the Field Research Course before handing in your admission request.

Graduate Students

  • Must be registered in a M.A. program at the Faculty of Social Sciences
  • Must inform their department and seek approval from the thesis/MRP supervisor to register for the field research course
  • You must submit your application to the courses by completing the online form by the prescribed date
  • Sign the Code of Conduct
  • Attend ALL the pre-departure trainings
  • certify your vaccination status, using the COVID-19 Vaccination Declaration online tool
  • Conform to the host country's sanitary measures and the travel advice and advisories from the Canadian government
  • Commit to leave with the other participants on the same flight (students must travel together, no exception)
  • Purchase the airline ticket and travel insurance according to the Faculty of Social Sciences criteria.
  • You must meet the specific language requirements for the course (written and oral ability in French or English depending on the language of the course). 
  • If you are registered in the coop program, you must advise them of your interest of participating in the Field Research Course before handing in your admission request.
Application Process

You must complete the online registration form for the Field Research Course before January 11 2022. Please read the form carefully before completing it.

You can choose up to two Field Research Courses: your number one choice and your number two choice. If you are not interested in any other course than your number one choice, you do not have to indicate a second choice. 

When you have submitted your online application you will received a confirmation of admission request e-mail. Please keep this e-mail as it is proof that you have submitted the online application before the deadline.

The professor of your number one choice will be sent the files of all the students that have selected their course as first choice. They will select 15 students out of the applications (10 for the Germany course) and a wait list.  Students who have not been selected for their number one choice will then be offered that their application be submitted to the professor of their number two choice IF there is still place in that course. 

Please note there is a maximum of fifteen (15) students per course (10 for the Germnay course).  Priority is given to students for which the course can count in their program of study.

If you are accepted into the course, you will receive an e-mail by January 28 2022  informing you of the next steps. You will need to confirm your participation no later than January 31 2022.

Documents to be Completed Before Departure

In addition to your course registration form, you will have to prepare certain documents before your departure. Please submit the following by the stipulated dates see Important dates section:

Course Registration at the University of Ottawa

Undergraduate Students:

If selected, you must register to one of the following six (6) credits course code:

FSS3210 (if you have completed 54 credits in your program of study by April)

FSS4210 (if you have completed 81 credits in your program of study by April)

ECH4210 (if you have completed 54 credits in your program of study - only for student in the Conflict Studies and Human Rights program)

The course could count as optional or electives depending on your program.  The Field Placement Coordinator will inform you of the application of these credits in your program of study (according to your academic progress)

Registration will take place by email with fssinternational@uottawa.ca. We will write to you when it is time to register (summer course registration is in April)

Graduate Students

If selected, you will register for a three credits course with your department.  Your department will register you for the course.

ALL STUDENTS:

The course will count for the summer semester. Undergraduate and Graduate students will not be able to participate in the June convocation because they must maintain their registration throughout the summer semester (even if the course count as additional credits in your program of study).  If you have completed all your requirements, you will then graduate in October. If that is your situation, contact the Finance Services early on to make arrangements.

Please note that if you have unpaid late tuition fees listed in your student account, we will not be able to register you. If you are not registered, you cannot leave to participate in the course.  You will then be financially responsible for any costs resulting from this situation. If that is your situation, contact the Finance Services early on to make arrangements.

Travel and Accommodation

Travel

The Faculty will handle the procurement of airline tickets along with everything related to your visit during the field study course.

Travel insurance: The travel insurance will be bought with your airline ticket.  No other travel insurance will be accepted.

Please note that the duration of your trip, should you extend your stay,  will impact on your flight and insurance costs.

The departure date will be the same for all the students in the group.  This means that you will all be on the same departure flight.  Your return date however is up to you. 
 

Accommodations

We will make arrangements for your stay in your host country. In some countries, you will pay for the onsite meals and housing  in advance. In some countries, you will be notified of the amount to bring for food and housing costs.

You are required to settle the costs (airline tickets, insurance and food and accommodations if indicated) before your departure based on the payment breakdown.  See Important dates below.

Costs Associated with Field Research Courses

Certain fees are payable before the start of the course and at the prescribe dates. Some prices are subject to change. Costs may vary according to prices at the moment of purchase, the length of your stay, your personal itinerary,etc. Some cost will not be refundable.  See under course listing below for approximate costs. Costs will vary according to exchange rate, your personal itinerary, etc.

Tuition Fees

Tuition fees are separate from the costs listed below.  These fees vary according to your status and your program. For more information on tuition fees, please consult the Office of the Registrar.  Tuition fees are to be paid according to the dates set by the registrar.

Vaccines

Vaccines costs are the responsibility of the student, Some are mandatory to enter the host country. Please consult a travel clinic and your family doctor for  recommendations.  Also consult the Travel.gc.ca website to find out the Canadian Government recommendations according to your host country and the Center for disease control and prevention for more information. It is mandatory that participating students certify their vaccination status using the COVID-19 Vaccination Declaration online tool whether they intend to come to campus or not.

ALL COSTS LISTED BELOW ARE ESTIMATES. ACTUAL COSTS MAY BE LOWER OR HIGHER (according to prices at the time of purchase and exchange rate). We will inform students on actual costs at the end of January 2022.

Germany Course offered to Masters Students and 4th year undergraduate students - June 24 to July 9

To be paid before you leave

  • Visa (if necessary)
  • Airline Ticket and Travel Insurance $1400 (to be paid in February)

To this you must add:

  • Tuition fees (according to University deadlines)
  • Vaccines if necessary

To be paid onsite:

  • Food approximately $500
  • Pedagogical Excursion $100
  • Personal Expenses (souvenirs, etc.)
  • Proof of Negative COVID-19 Test (if still required in May 2022)

 

Brazil Course offered in English to undergraduate students - May 13 to June 3rd

To be paid before you leave

  • Accommodations, certain meals, Airline ticket Sao Paulo to Sierra Grande) $970 (to be paid in March)
  • Visa (if necessary)
  • Airline Ticket to Sao Paulo and Travel Insurance $1800 (to be paid in February)

To this you must add:

  • Tuition fees (according to University deadlines)
  • Vaccines if necessary

To be paid onsite:

  • Food approximately $400
  • Personal Expenses (souvenirs, etc.)
  • Proof of Negative COVID-19 Test (if still required in May 2022)

 

Cameroon Course offered to undergraduate students in French from August 2nd to 22nd

To be paid before you leave

  • Accomodations, food and transportation $1300 (to be paid in March)
  • Visa 120 $ for Canadian Citizens (other foreign nationals must enquire about costs)
  • Airline Ticket and Travel Insurance $2200 (to be paid in February)
  • Internet $100

To this you must add:

  • Tuition fees (according to University deadlines)
  • Vaccines if necessary

To be paid onsite:

  • Personal Expenses (souvenirs, etc.)
  • Proof of Negative COVID-19 Test (if still required in May 2022)

 

France Course offered in French to undergraduate students in French from May 1st to 22th (Travel dates will be reduced to three weeks and will reduce the costs. Information will be published soon)

To be paid before you leave

  • Accomodations (housing and food) $2512 (to be paid in March)
  • Visa (if necessary)
  • Airline Ticket and Travel Insurance $1400 (to be paid in February)

To this you must add:

  • Tuition fees (according to University deadlines)
  • Vaccines if necessary

To be paid onsite:

  • Transport sur place $319
  • Excursion pédagogique $65
  • Personal Expenses (souvenirs,food, etc.)
  • Proof of Negative COVID-19 Test (if still required in May 2022)

 

Taiwan, Course offered in English to undergarduate students - April 29 to May 23

To be paid before you leave

  • Accomodations (housing)  $1500 (to be paid in March)
  • Visa (if necessary)
  • Airline Ticket and Travel Insurance $1500 (to be paid in February)

To this you must add:

  • Tuition fees (according to University deadlines)
  • Vaccines if necessary

To be paid onsite:

  • Food $1500
  • Transport sur place $25
  • Cell $25
  • Personal Expenses (souvenirs, etc.)
  • Proof of Negative COVID-19 Test (if still required in May 2022)

 

Passports and Visas

You are responsible for securing your passport and/or visa. You must have a valid passport before leaving the country as well as a visa for the country you are visiting, if necessary. You can begin the process of obtaining these documents once you are accepted into the course. Be sure to leave enough time to receive your passport and/or visa. You must provide us with a photocopy of your passport. For information on the necessary steps, consult the Passport Canada website.

If you plan to travel after the Field Research Course, you must make sure to have the appropriate travel documents.  Please consult the links below and contact the appropriate authorities of the host country.

Nationals from other countries are responsible to undertake the appropriate steps to find out what are the requirements and fees, according to their status, for travel documents in the host country.

Bursary and Financial Aid

If you are accepted, undergraduate and graduate students, who are going abroad will receive financial aid of $500 from the Faculty of Social Sciences, and $250 from the International Office.  This amount will be deposited in your student account once the course is completed.
